HIRING: General Office Management Specialist

+ Key Responsibilities:
- General Office Administration:
o Maintain digital filing systems on the company server, ensuring documents are well-organised and easily accessible.
o Assist with general invoicing and administrative tasks as needed.
o Assist with compliance and management of ISO system
- Timesheet Management:
o Provide weekly staff timesheets to the General Manager for payroll processing, ensuring data accuracy and compliance with company requirements.
- Communication & Phone Manner:
o Maintain a professional and polite phone manner when dealing with suppliers, clients, and internal team members.
o Present strong verbal and written communication skills to effectively liaise with stakeholders and provide clear updates.
- Accounts Receivable:
o Enter supplier invoices into the accounting system with proper coding using specific GL codes.
o Reconcile supplier statements at the end of each month, ensuring all invoices are accounted for and entered into the system.
o Generate Accounts Payable (AP) reporting and share with management by the 5th of each month.
o Manage collections for outstanding AP invoices, contacting suppliers to chase overdue payments.
o Notify the team when suppliers are placed on stop credit status due to overdue payments.
- Bank & Credit Card Reconciliations:
o Perform account reconciliations for company bank accounts and credit cards, ensuring all transactions are accurate and up to date.

· Great English communications skills
· Experience in office management and administration, with the ability to handle multiple tasks independently.
· Nice to have experience with accounting functions and understanding of accounts receivable and payable processes.
· Preferred candidates have experience in managing ISO documentation and filing systems.
· Excellent organizational and time-management skills.
· Ability to meet deadlines and produce accurate reports.
· Strong verbal and written communication skills.
· A professional and courteous phone manner.
· Attention to detail and problem-solving abilities.
· Ability to work independently in a remote setting.
